Who controls club information
Fairway Social operates the service. The club organiser decides which members, contact details, handicaps, events and scores are entered. Organisers must have authority to provide and manage that information, tell members how the club uses it, and keep access links and organiser credentials appropriately restricted.
Information used
The service stores club settings, member names and optional email addresses, club-use handicap information, selected tee data, seasons, events, RSVPs, scores and security audit records. A Player Passport may also store an independent profile, club-profile links, personal tee cards, private rounds, hole scores, bag specifications, handicap provenance and shot coordinates entered manually or captured through browser geolocation. Limited technical records may be used to protect the service from abuse. Rate-limit records are operational security data and are not included in club exports.
Purpose and disclosure
Information is used to run the club's Fairway Social clubhouse, calculate Stableford and club season results, provide support, and secure the pilot. If a player claims their optional Passport, their own recorded cards may also be used to produce private recent-form and Fairway Plus performance insights for that player. A member share link exposes appropriate club information to people who hold that link. Member email addresses, private Passport insights and organiser credentials are not shown in the normal member view.
Launch-monitor sessions and screen photos
A launch-monitor session can be brought into your bag two ways, and neither sends anything to a third party. An exported session file is read in your browser; only the per-club distances you confirm are saved. A photograph of a simulator's club-averages screen is read by text recognition that runs entirely on your own device — the image is never uploaded, never stored by us, and is discarded once the numbers are extracted. What is saved is the table of distances you reviewed and approved, labelled with how it was captured so a photographed reading is never mistaken for a measured one.
Player Passport and Fairway Plus
Passport access is passwordless and belongs to the individual account, which may exist without a club and may link matching roster profiles from more than one club. Associating a private round with a club only adds a private label in this beta; it does not enter a competition, publish a scorecard, award points, expose private notes or GPS to the club, or appear in normal club API/UI. Plus entitlement records include the plan, expiry and a non-secret operator reference. Foreground GPS starts only after the player presses Start while the page is open, stops explicitly or when the page is left, and continuous location samples are not stored. Manual shot coordinates remain available. Handicap provider connections and imports carry explicit verification state and are not described as official when an authorised provider is not configured.
Retention, deletion and export
Club data is retained while the pilot club remains active and for a reasonable period needed for support, security and legal obligations. An authorised organiser can download the club's JSON export from club Settings. A signed-in player can export their Passport JSON with provenance and can delete an individual private round, personal course, shot or bag club; deactivate a bag club; unlink a club profile; or permanently delete their Passport account using typed confirmation. Bag-club deletion preserves shot history by clearing the reference, and personal-course deletion preserves rounds by clearing the course reference. Unlink and account deletion preserve club-owned roster, competition, score and history records. Account deletion removes the email-based identity, personal records, sessions, sign-in tokens, entitlement history and any named account-based club role. Passport exports exclude sessions, sign-in tokens and rate-limit security records.
Members and access requests
Members should ask their club organiser for export, correction or deletion of club-held member information because the organiser controls what the club submits. Players control their personal Passport records in Profile/Settings. Organisers should raise privacy concerns about Fairway Social's operation through their existing private pilot channel.
